A Comprehensive Timeline for Planning Your Dream Wedding
How to plan a timeline for a wedding
The Perfect Wedding Timeline: Why Building in Breating Rooms Matters
Your wedding day is one of the most significant and emotional days of your life. It’s filled with love, excitement, and the people who mean the most to you. But with so many moving parts—getting ready, the ceremony, photos, the reception, and all the magical in-between moments—it’s easy to feel like you’re just rushing from one thing to the next.
The Foundation of a Well-Planned Timeline
A wedding timeline should outline each event of the day with realistic time blocks. Here’s a general framework:
Getting Ready: Ideally, photo and video team arrives when hair and makeup are nearly complete to capture final touch-ups like a swipe of lipstick or a brush through your hair—it looks much more polished in photos. Here, it gives us a chance to capture detailed shots (some of our favorites!), including shoes, rings, invitations, flowers, and other special items.
The process of getting dressed is a beautiful moment. We want to make sure there is time to photograph you and the people closest to you. This process typically takes 1.5 to 2 hours, depending on the number of people involved.
For our groom, the getting ready process is similar but often shorter (not fair at all)—typically 30 minutes to an hour—as we capture details of the tux coming together piece by piece as well as his closest family and friends.
First Look & Photos:
If you opt for a first look, plan at least 60 minutes to 2 hours for a mix of intimate photos, as well as capturing bridal party and family portraits before the ceremony. This allows for you and everyone in your party to enjoy the cocktail hour and reception.
Ceremony:
Whether short or long, your ceremony should be a moment to fully absorb, without feeling rushed.
If the ceremony and reception are at the same location, a first look allows you to take all family and bridal party photos beforehand.
If the ceremony is in a church, the photo session usually happens afterward, before cocktail hour, be sure to leave time for traveling and photo session.
The idea is not to be posing for the rest of the day but to enjoy the food, the company, and the dance floor!
Cocktail Hour & Reception:
Before your grand entrance, we recommend carving out 15 minutes of downtime to breathe and soak in the excitement. This is perfect to get a ballroom shot and practice your dance.
We document all the details of your reception, from table settings and centerpieces to the cake and decor through cocktail hour.
Expect a mix of candid moments—dancing, laughter, heartfelt speeches, and, of course, the occasional fun bar shot worth remembering.
You can choose to have your photos and video team until cake cutting or until the end of the night.
Why Buffer Time is Essential
Unexpected things will happen. Maybe a groomsman forgets his tie, a vendor arrives slightly late, or a speech runs longer than expected. These minor hiccups shouldn’t derail your day—but they can add stress if every minute is packed too tightly. By adding 5-10 minute cushions throughout the day, you allow room for adjustments without feeling like you’re playing catch-up.
Presence Over Perfection
Ultimately, your wedding is about celebrating your love, not just sticking to a rigid schedule. By creating space in your timeline, you allow yourself to:
-Take in the details—the way your partner looks at you, the way your guests react to special moments.
-Feel the emotions without rushing to the next event.
-Be flexible so minor delays don’t impact your overall experience.
Your wedding day should be a joyful experience, not a sprint. When crafting your timeline, prioritize presence over perfection—because the most unforgettable moments often happen in unplanned pauses and let go of what can’t be changed.
